Additional fields

Additional fields let you record information your organization needs alongside the standard Memida fields. Examples include an internal reference number, an item's area of use, or an additional note for an inspection report.

You configure fields separately for Inspection equipment, Inspection reports, and Inspection instruction. The configuration defines which information can be recorded in that area. You then enter the value for each individual item of inspection equipment, inspection report, or inspection instruction.

Add a custom field

  1. Open the User menu via your profile picture and select Settings.
  2. In the navigation under Data, select Additional fields.
  3. Click the plus icon in the relevant area to open the Add dialog.
  4. Under Form type, choose the appropriate input type.
  5. Enter a meaningful Title. Optional: Use Description to explain what information is expected.
  6. Under Enable/Disable, check the Active setting and configure the options for the selected type.
  7. Select Save.

Active is already enabled for new fields. Active fields are then available in the forms for the selected area. The description appears as an additional hint next to the field.

Choose the type carefully before saving: you can edit the Title and options later, but the Form type is fixed once the field has been created.

Choose the appropriate field type

The interface offers the following six types. The available options differ by type:

TypeSuitable forConfigurable options
InputSingle-line text, such as an internal reference number.Required field, minimum and maximum length, placeholder
TextareaMulti-line text, such as additional usage instructions.Required field, minimum and maximum length, placeholder
CheckboxInformation with two states, such as “Protective cover present”.Checkbox info
DatetimeA date with a time.Required field
DateA date without a time.Required field
SelectExactly one choice from predefined options, such as an area of use.Options, default selection, required field, placeholder

Define input rules and required values

Required field

Under Required field settings, enable the Required field checkbox if a value must be entered. This option is available for all types except Checkbox.

Creating or activating a required field does not add individual values to existing records. When you next edit a record, check whether the new required field needs to be completed.

Minimum and maximum length

For Input and Textarea, use Minimum length and Maximum length to define the permitted text length in characters. New fields initially use 0 and 500 characters respectively. You can set the maximum length to up to 5,000 characters.

Choose limits that suit the expected content. For an internal reference number, for example, a minimum of 3 and a maximum of 30 characters may be appropriate. If a value must always be provided, also enable Required field.

Placeholder

A Placeholder provides an input hint, such as “Internal reference, e.g. REF-2026-001”. It is not a stored field value and does not satisfy a required field. For text fields, Memida uses the title as the hint if no custom placeholder is defined.

For Select, the placeholder is an empty selection entry, such as “Please select an area of use”. In an optional selection field, this entry can remain without a value. Also note the rules for the default selection in the next section.

Checkbox info

For the Checkbox type, Checkbox info defines the text displayed next to the checkbox. Use a clear statement, such as “Protective cover present”. The Title names the field; Checkbox info explains what the checked state means.

Manage selection options and the default selection

A Select field must contain at least one option before it can be saved.

  1. Enter a selection value in the Option field.
  2. Select Add or press Enter. The option appears in the list.
  3. Repeat for the other values. Identical options that already exist are not added again.
  4. Optional: Click the bookmark icon next to the desired option to make it the default. Its tooltip reads Choose whether this option should be selected by default. Clicking it again clears the default selection.
  5. Select Save to apply the field configuration.

For a new entry, Memida uses the configured default selection. If no default is defined, the first available option may be preselected. Exception: If the field is optional and has a placeholder, it starts without a selected value; even a configured default is not applied automatically in this case.

Use the X next to an option to remove it from the available choices. Removing the current default option also clears its default marker. Keep at least one option and then save the change.

Example: an item's area of use

You want to record a consistently named area of use for each item of inspection equipment. Create a new field in Inspection equipment with these settings:

SettingExample value
Form typeSelect
TitleArea of use
DescriptionSelect the area in which the inspection equipment is used.
ActiveEnabled
OptionAdd Production, Assembly, and Laboratory separately
Default selectionMark Production using the bookmark icon
Required fieldEnabled

Save the field. Then open the form to create or edit inspection equipment and check Area of use. For a laboratory instrument, for example, select Laboratory and save the item. The field configuration describes the possible values; this selection belongs to the individual inspection equipment record.

Edit an existing field

Open Settings → Additional fields and click the pencil icon next to the field. The Edit dialog contains the title, description, active state, and type-specific options. Apply your changes with Save.

The field type can no longer be selected here. If you need a different input type, create a new field. Before changing required values, text lengths, or selection options, check which existing values should continue to be used.

Disable or re-enable a field

Open Edit, clear Active under Enable/Disable, and select Save. Memida continues to list the field in its management view and marks it as Disabled. It is no longer available in the standard input forms.

The field configuration and stored values are retained. To use the field again, enable Active and save.

info

Disabled fields can still be read and written through the REST API. Disabling a field therefore does not automatically stop connected systems from using it.

Delete a field

Use Disable if you want to temporarily remove a field from forms while keeping its existing values. Delete is intended for fields you no longer need; Memida does not provide a way to restore them in the interface.

  1. Open the field's Edit dialog.
  2. Select Delete. Memida opens Delete additional field.
  3. In Name, enter the displayed title of the additional field exactly.
  4. Confirm with Delete.
warning

The confirmation dialog warns that deletion cannot be undone and also affects the associated data. Delete the field only if you no longer need it or any of its existing values.

Use additional fields in everyday work

You can also maintain inspection equipment fields through direct editing in the inspection equipment list. When importing from spreadsheets, Memida validates additional fields according to their configuration.

Active inspection equipment fields are available as dynamic text in the label assistant. Checkbox fields are excluded.
