Create calibration certificates

Use Add calibration certificate to document the calibration of an individual item of inspection equipment. Memida takes the measurement points from the measurement template and evaluates the recorded actual values against the stored limits and measurement uncertainties. From these, Memida creates a digital calibration certificate (DCC) as an XML file with a readable PDF representation.

You can complete the calibration certificate without an electronic seal or seal it before completion. For existing laboratory reports, use the calibration certificate import.

Start calibration for inspection equipment​

Open the record for the individual item of inspection equipment and select Action → Add calibration certificate (1). If several released calibration plans are available, select the intended plan under Select calibration plan and confirm with Start calibration.

The device master record requires an active measurement template. If it is missing, Memida displays No measurement template has been stored for this device yet. The function is not available for archived inspection equipment or inspection equipment groups. Calibrations are documented for the individual items of inspection equipment.

A calibration plan supplements the measurement template with requirements for the procedure, such as required measurement conditions and suggested reference devices. If several plans are available, the default assigned to the equipment is marked. Your selection applies to this calibration run and does not change the permanent assignment on the equipment. Calibration using the measurement template is possible without a released plan.

Memida fixes the template and plan revisions used when the run starts. You cannot change the plan within the same run. To use another plan, discard the draft and start again. If you reopen the function with the same user account, Memida resumes the open draft for this item of inspection equipment.

Check the template and calibration data​

In Template & calibration data, check the measurement template, its Revision, the measurement groups, and the measurement points. Under Inspection requirements, you can find the calibration plan and any associated inspection instructions and documents.

Then check the Calibration data:

The structured address data for the laboratory and customer are checked for the DCC. If Memida reports incomplete customer data, complete the customer master data and check the draft again. Free text entered under Calibration location does not replace this master data.

Under Further details & measurement conditions, you can enter Calibration location, Remarks, Temperature, Relative humidity, Air pressure, Warm-up time, Start, End, and Notes on measurement conditions as needed. Details required by the plan appear under Required measurement conditions. Start and end must not be in the future; End must not precede Start. Then select Next.

Document the reference devices actually used​

In Reference devices, record the reference standards actually used. You can assign several reference devices to a measurement group or an individual measurement point if the calibration requires several standards. Memida applies the suggestions from the calibration plan. Adjust them to reflect the reference devices actually used.

In the relevant measurement group, select Add reference device and choose Inspection equipment managed in Memida or Externally managed reference standard as the source. Specify the reference device used and the Measurement range used, then confirm with Apply assignment. Repeat this for each additional reference device in the group. You can combine internal inspection equipment and external reference standards.

To assign different devices to an individual measurement point, open Measurement point exceptions and select Add reference device for measurement point (1). Select the measurement point and record the reference device with its measurement range used. You can also add several reference devices to the same measurement point this way.

The reference devices stored for a measurement point replace the entire reference device list of its measurement group for that point. If the point also requires devices from the group assignment in addition to another standard, add those devices to the measurement point as well. Without a measurement point exception, the group’s reference devices apply.

Select Edit at the pencil icon (2) to change an existing assignment, such as the reference device or measurement range used. Confirm the changes with Apply assignment.

The same reference device may appear only once in the reference device list of a measurement group or point. Apply or discard any pending entries before moving to another step.

For external reference standards, also enter Justification, Calibration certificate reference, and Suitability declared until. Suitability declared from (optional) can further limit the period if needed. The declared period must include the calibration date. Memida does not use these details to verify the metrological traceability of the external reference standard.

Address suitability notices​

Memida evaluates each reference device managed in Memida individually for the specified calibration date. It takes into account the latest applicable calibration inspection, its use decision, and the documented recalibration due date.

Memida requires explicit confirmation of use if a calibration inspection or recalibration due date is missing, the reference device is assessed as unfit for use, or its recalibration was overdue on the calibration date. Assess the possible effect on the calibration before confirming. Each notice requires its own confirmation. Memida saves these confirmations with the calibration run. The reference device’s calibration status remains unchanged.

Missing or unverifiable calibration evidence is displayed as a separate notice. A notice about overdue recalibration is distinct from the check of calibration evidence.

If you change the calibration date or assignment, the relevant confirmations must be reviewed again. Then select Next.

Record measured values and remarks​

In Measured values (Fig. 1, marker 2), enter the Actual value for each measurement point. Nominal, Limits, and U (k = 2) come from the fixed template revision and cannot be changed during calibration.

Copy measurement series from a spreadsheet

Press Enter to move to the next actual value. You can paste multiple rows from a spreadsheet starting at the selected actual value; Memida copies the first column of the pasted rows into the subsequent measurement points. Check the assignment afterwards.

Decimal numbers with up to twelve digits before and eight digits after the decimal separator are permitted.

Select Add remark at a measurement point to document any particularities of that measured value. Open it later with Edit remark. Remarks specific to a measurement point remain assigned to that point and are included in the calibration certificate.

Understand measurement uncertainty and evaluation​

For the calibration certificate, Memida uses the stored expanded measurement uncertainty U (k = 2) and states a coverage probability of 0.95. Memida does not calculate an uncertainty budget from the entered actual values. The origin of the model used is documented under Technical U provenance.

Memida uses the decision rule Simple acceptance with a note, with VDI/VDE/DGQ/DKD 2618 Part 1.3 and VDI/VDE/DGQ/DKD 2622 Part 1.2 as technical guidance. The rule evaluates the actual value and the interval from actual value minus U to actual value plus U against two-sided limits. The Evaluation displayed during entry is provisional; Memida checks it again before completion:

The calibration certificate’s Statement of conformity follows the most stringent measurement point evaluation in the order F, N−, N+, P. Separately, Memida shows the Derived use decision: Fit for use if all measurement points receive P; Conditionally fit for use if at least one receives N+ and none receives N− or F; Unfit for use as soon as any point receives N− or F. This automatic assignment does not replace your assessment of suitability for the intended use.

You must correct missing or invalid actual values before Memida can provide a complete conformity evaluation and use decision and create the calibration certificate.

Save and resume your work​

Memida saves your entries automatically while you work. If Saving failed appears, select Action → Save again. Memida only moves to another step after saving successfully. Do not leave the page until your entries have been saved.

If the same draft was changed in another session, Memida displays Draft was changed elsewhere. Your unsaved entries remain in the open form. After loading the current server version, choose:

  • Use server version discards your unsaved local changes.
  • Save entire local version replaces the full server version with your local version. Changes made in the other session in the meantime are lost; Memida does not merge the two versions automatically.

Discard draft removes the calibration data and measured values recorded in this draft so far. Confirm the dialog only if you no longer need these entries. A completed or discarded run cannot be edited as a draft again.

If a calibration plan has since been released for an older draft without a plan, Memida requires a restart: discard the old draft and start the calibration again with the released plan.

Check the preview and complete the certificate​

After entering the measured values, select Next. Memida checks the saved draft, including master data, measurement conditions, reference devices, and measured values. If there are errors, Memida takes you back to the relevant step. Address any additional reference device confirmations there as well.

After a successful check, Review & add opens. While Creating calibration certificate is displayed, Memida generates the PDF preview. It appears automatically when processing is complete.

The human-readable representation of the measurement points (Fig. 1, marker 3) shows the values and conformity evaluations in a table. The chart below illustrates the measurement deviations and uncertainties in relation to the acceptance limits.

Check the document, Summary, Statement of conformity, Derived use decision, and Measurement and inspection details. The preview alone does not create an inspection report.

Select Back to return to measured value entry. After changes, Memida must check the new draft and regenerate the preview. For a temporary error, you can select Try again.

The following completion options are available:

  • Complete without an electronic seal creates the inspection report with DCC XML and its PDF representation. This completion does not include an electronic seal.
  • Seal and complete passes the DCC to Memida Signing.
  • Download XML and seal externally guides you through the manual sealing process.

Use the completed calibration certificate​

After Calibration certificate added, Memida opens the inspection report. The XML file contains the DCC in version 3.3.0. Use View PDF to open its readable representation; Download on the XML file downloads the actual DCC.

The completed DCC inspection report and its files cannot be changed afterwards. Changes to master data, measurement templates, or calibration plans do not affect the saved calibration certificate. Check its content, statement of conformity, and use decision before completion.

Memida takes the new inspection report into account when determining the equipment status and next inspection date. The interval shown in the calibration plan is a recommendation; completing the certificate does not automatically replace the inspection interval that applies to the equipment.
