Seal and complete calibration certificates
In the final step of creating a calibration certificate, you can complete the certificate with an electronic company seal. The certificate is in DCC format. Memida checks the returned XML file, the seal, and the certificate assignment approved for the company. The completed calibration certificate and its inspection report are saved only after successful processing.
For direct handover, use the free desktop app Memida Signing. Alternatively, download the prepared XML file, seal it with a compatible tool, and upload the sealed file to the same job. With Memida Signing, your private key and certificate password remain on your computer.
Prepare for completion
Fig. 1: Calibration certificate preview and completion options
In Review & add, check the full preview. Select Open preview (1) to view the document separately. The sealing actions are available only once the preview has been created and no other completion process is active.
Two-factor authentication must be set up for your account before sealing. If needed, select Set up two-factor authentication to open the settings. Memida usually uses the two-factor authentication confirmed at sign-in. If a separate Seal authorization appears, review the job and confirm it with a new code from your authenticator app.
The company certificate must be approved in Memida for the company that owns the inspection equipment and must be available in the sealing app. The displayed certificate fingerprint must match the fingerprint of the intended certificate. Selecting another certificate locally does not replace this assignment. Certificate management explains importing and changing certificates; DAkkS eAttestation explains the requirements for a digital accreditation symbol.
Complete with Memida Signing
- Select Seal and complete (2).
- Wait until Memida has prepared the calibration certificate for sealing.
- If prompted, confirm the browser request to open the app. If it did not open, use Open app in the dialog.
- Review and confirm the job in the desktop app as described in Seal with Memida.
- Wait for Memida to display Securely sealed, then open View calibration certificate.
After authorization in the app, the sealed XML is transferred automatically. Memida checks it and creates the PDF representation. The inspection report is complete only when Memida displays Securely sealed.
You can close the completion window and reopen it with View sealing. Closing the window does not cancel the sealing job. If only the connection to the app has expired, reconnect it; the prepared calibration certificate is retained.
Seal XML externally and upload it
Use the manual process if you work with another compatible DCC XAdES/eAttestation tool or direct app handover is unavailable in your environment.
- Select Download XML and seal externally (3). Memida creates a manual sealing job and downloads the associated DCC draft.
- Seal this exact XML file with the certificate intended for your company. Leave the calibration data and measured values unchanged. For Memida Signing, you can follow Seal local files.
- In the open dialog, select Choose XML file and choose the sealed copy with the
.xmlextension. The file must not exceed 6 MiB. - Select Upload XML and complete.
- Wait until Memida displays Securely sealed.
The job is valid for 15 minutes. Downloading, sealing, and uploading must be completed within the time window shown in the dialog. Download XML again retrieves the draft for the same job again.
Among other checks, Memida verifies that the file matches the authorized DCC and uses the intended certificate. Do not upload an edited version or an XML file from another job. A downloaded or locally sealed document alone does not complete the process in Memida.
If Memida displays Upload status could not be confirmed reliably, do not submit the file again. Check the current job status. If the file has already been received, wait for processing. Otherwise, follow the displayed instruction to start a new manual job; its newly downloaded draft must be sealed again.
Read the status
The status updates automatically during processing. This table explains the individual processing stages:
| Status | Meaning and next step |
|---|---|
| Awaiting authorization | The job is waiting for authorization. Follow the open app or manual workflow. |
| Ready to seal | The job is authorized. Complete the displayed sealing and transfer workflow. |
| Seal is being processed | The sealed file has been received and is awaiting server-side verification. Do not submit it again. |
| Seal is being verified | Memida checks the seal and certificate approval and prepares to save the calibration certificate. |
| Securely sealed | The electronic seal has been verified; the calibration certificate and PDF are saved. |
| Rejected | The job was not completed. Read the reason for the error and resolve its cause. |
| Expired | The time window has expired. Your calibration data is retained; restart the displayed sealing workflow. |
| Canceled | The job was canceled. You can return to calibration or seal again. |
If Automatic updates interrupted appears, Memida shows the last known status. Use Reload status before starting another job. If server-side verification is still running, do not start or transfer the job again in parallel.
Reasons for rejection may include a signature that could not be verified successfully, a certificate not approved for the company, or a temporarily unavailable verification service. For errors that allow another attempt, Memida offers Restart sealing. If restarting is not possible, resolve the stated cause or contact your administrator.
Cancel sealing and continue working
As long as the sealed file has not yet been submitted, you can select Cancel sealing. During preparation, this action is called Cancel preparation. The calibration data and measured values are retained; select Back to calibration to continue editing.
Once the file has been submitted and is being processed or verified, the job can no longer be canceled. Memida then prompts you to check the current status. Canceling a sealing job is different from Discard draft: discarding affects the calibration data recorded in the draft.
Download the sealed calibration certificate
Fig. 2: XML download and readable PDF representation
After completion, open View calibration certificate. On the inspection report’s XML attachment, select Download (4) to retrieve the saved DCC. Select View PDF or View (5) to open its readable PDF representation.
The electronic seal belongs to the XML file. The PDF representation generated from the DCC is not an independently sealed PDF file and does not replace cryptographic verification of the XML. For independent verification, use the downloaded DCC as described in Verify seals.
The completed DCC inspection report and its files are immutable. Later changes to measurement templates, calibration plans, or master data do not change the saved evidence.
