Use inspection equipment offline
On the shop floor, at a construction site or on the move: offline use in the Memida App lets you search for inspection equipment, scan Memida codes and view inspection equipment records without an internet connection.
This feature is available in the iOS and Android apps. Once enabled, the app automatically updates the data regularly while connected to the internet, both during use and in the background.
Enable offline use
For the initial setup, you need an internet connection and must be signed in to the Memida App. Tap the profile picture in the dashboard to open Settings, then Offline & synchronization.
Fig. 1: Prepare offline use and check data status
- Turn on Enable offline use and select the required scope under Cost centers (1). Confirm your selection with Apply. All cost centers includes the cost centers available to your account. This selection determines the offline dataset and is independent of the dashboard filter.
- Select any files you also need offline (2). Without enabled file options, the data is saved, but report files, instructions and images are not specifically downloaded.
- Wait until Data shows Available offline. Check Last synchronization, Available offline until and the separate status under Files (3). Only fully downloaded files can be opened without a connection. 0 of 0 selected files ready means no files have been selected for download.
The first synchronization starts automatically after activation. If you are planning a period without an internet connection or want to synchronize immediately, tap Sync now (2). This also applies changes to cost centers or file options immediately. Afterwards, check the data and file status, then open the required records and supporting documents to confirm they are available.
Download the files you need
Report details and their associated files are prepared separately. Choose the options to suit your needs:
| Setting | Scope |
|---|---|
| Download latest report files | Files from the most recent inspection report for each item of inspection equipment, regardless of inspection report type or use decision. Older report data remains readable offline without its files. |
| Download instructions | Inspection instructions and instruction files from inspection equipment and device master data. Shared files are stored once. |
| Download images | Images provided for the selected dataset. |
| Automatic files over Wi-Fi only | File downloads wait for Wi-Fi. This also applies to files in a manually started synchronization. |
| Maximum devices with report files | Default: 500, configurable from 0 to 20,000. If the limit is exceeded, no report files are downloaded for this selection. Narrow the cost center selection or increase the limit. |
| File storage limit (MB) | Default: 500 MB, configurable from 1 to 5,000 MB. If the limit is insufficient, reduce the selection or increase it. The smartphone must have the corresponding free storage space. |
A valid dataset does not mean that all associated files are ready. Information about failed downloads, Wi-Fi or limits appears under Files. After resolving the issue, you can start another synchronization immediately with Sync now.
Work without a connection
The dashboard shows Available offline, the last synchronization and the expiry date in place of current statistics. From there, open Inspection equipment, Scan or Manage offline data.
Fig. 2: Inspection equipment list and saved inspection report
Under Inspection equipment, search for the item you need and open the matching entry (1). In the inspection equipment record, open Inspection reports to access the saved reports. Even without a connection, you can see the inspection type, use decision and inspection date for each report (2). The use decision in an earlier inspection report may differ from the inspection equipment's current status.
Search and the scanner use only the prepared dataset. Archived inspection equipment is not included. If a code is unknown, scan it again with an internet connection. Later changes in Memida are applied only at the next synchronization.
PDFs and images can be opened offline only if they have been fully downloaded using the appropriate file options. Simply opening a file while online does not replace this preparation. Map data is not prepared as an offline map package.
New photos, comments and other changes require an internet connection. They are not queued offline to be sent automatically later.
Refresh the data
When connected to the internet, the app regularly updates the offline dataset during use, when reopened and in the background. You do not need to start synchronization manually every time in everyday use. The timing of background updates also depends on the operating system.
Use Sync now to start synchronization independently of the regular updates, for example before entering an area without reception or when you want to apply the current data immediately. Afterwards, check Last synchronization and the download status under Files.
Offline access is valid for a maximum of seven days from the last successful synchronization. Available offline until shows the applicable expiry time. After it expires, you need an internet connection and another synchronization before you can use the saved dataset again.
Remove local data
Under Offline & synchronization, select Remove offline data and confirm with Remove. Memida deletes the local data and downloaded files for this account and disables its offline use. The data on the server is preserved.
Sign out also removes the local offline dataset and its settings. After signing in again, you must enable and prepare offline use again.
If content is missing
- Not yet available offline: Connect the app to the internet, enable offline use and synchronize the required scope.
- Synchronization required: Refresh the expired dataset or data that requires revalidation while online.
- This file is not available offline: Check file options, download status, Wi-Fi and limits. Then synchronize again.
- Reset offline storage: If this action is offered, confirm it and set up offline use again while online. The data on the server is preserved.
