Inspection instructions
An inspection instruction provides instructions and supporting documents for an individual item of inspection equipment. You can describe the procedure in text, specify a calibration procedure, and attach existing instructions as files.
You can find inspection instructions in the inspection equipment record under Inspection requirements. The calibration plan also appears there. Both provide requirements for working with the equipment, but serve different purposes.
Distinguish inspection instructions, calibration plans, and inspection reports
Choose the relevant area for your task:
| Area | Purpose | Assignment in Memida |
|---|---|---|
| Inspection instruction | Text and documents to consult, such as an internal work instruction or preparation notes. | Under Inspection requirements for the individual item of inspection equipment. |
| Measurement template | Structured measurement groups and points with units, nominal values, limits, and measurement uncertainties for recording measured values. | Assigned to the device master record, which represents the device model. |
| Calibration plan | Combines a fixed measurement template revision with requirements for the procedure, such as measurement conditions and suggested reference devices. | For inspection equipment with the same device master record; the plan is fixed when calibration starts. |
| Inspection report | Documents a completed inspection with its type, use decision, inspection date, and supporting evidence. | Under Inspection reports for the individual item of inspection equipment. |
An inspection instruction can supplement a calibration plan. However, its text and attachments are not automatically converted into measurement points or plan requirements. For calibration with structured measured values, use calibration certificate creation.
Add an inspection instruction
Fig. 1: Inspection instruction with a calibration procedure and documents
- Open the record for the individual item of inspection equipment.
- In Inspection requirements, select Action → Add inspection instruction (1).
- In the Inspection instruction field (2), enter the procedure or a reference to the supporting document.
- Optional: Under Calibration procedure, enter the name of the procedure or a reference to a standard.
- Complete the additional fields configured for inspection instructions. Pay attention to fields marked as required.
- Optional: Drag supporting files onto the upload field (3) or click the field to select files. You can add up to ten files at a time.
- Select Add. Memida saves the instruction, its details, and its files for the open item of inspection equipment.
If the complete instruction already exists as a document, you can attach the file on its own; additional instruction text and a calibration procedure are optional. For groups and sets, add inspection instructions to the individual members. The add action is not available for archived inspection equipment.
Example of an internal instruction
For example, enter “Preparation and visual inspection according to attached work instruction PA-017, revision 3” in the Inspection instruction field and attach the corresponding PDF file. A configured additional field can hold the internal document number. The document number and revision refer to your work instruction; they do not replace a measurement template or calibration plan revision.
View an inspection instruction and its files
Under Inspection requirements → Inspection instruction, open the required entry. The detail view shows the full instruction text, calibration procedure, additional fields, and attached files.
If there are several entries, select More to open the extended list. If further entries are available, use Load more to retrieve them.
On a file, open More and select View or Download. This lets you open or save the instruction locally before carrying out the work.
Edit an inspection instruction
- Open the existing inspection instruction.
- Select Action → Edit.
- Update the instruction text, calibration procedure, or additional fields. Add more files if needed.
- Select Save.
Memida updates the existing inspection instruction. Its assignment to the inspection equipment is retained. Make changes to a measurement template or requirements for the procedure separately in the relevant measurement template or calibration plan.
