Groups and Sets

An inspection equipment group combines several related physical items of inspection equipment. In the interface, this structure is called Group / set. Typical examples include test kits, measurement stations, or combinations of devices that are used together.

The group is an organizational container, not an additional physical item of inspection equipment. Each member retains its own inspection equipment file with master data, inspection interval, next inspection date, inspection reports, and inspection instructions. The group itself has no calibration requirement and instead inherits the most critical status of its active members.

Create a Group

  1. Open Test equipment and select Add.
  2. Under What would you like to create?, select Group / set.
  3. Select suitable device master data or create it. Then enter the identification number, cost center, and required additional fields.
  4. In the Assign equipment step, select the inspection equipment to include.
  5. Review the selection and complete the creation process.

When using the separate New group from selection function, enter the group name or model directly; manufacturer and type are optional. Inspection intervals, calibration labs, and next inspection dates are maintained only on the physical members.

When creating or editing a single item of inspection equipment, you can assign it to an existing group using the Group field. Only groups from the same company are available for selection.

Create a Group from Existing Inspection Equipment

If the members already exist in Memida, you can create the group directly from the inspection equipment overview:

  1. Select at least one physical item of inspection equipment.
  2. Open Bulk action.
  3. Select New group from selection and execute the action.
  4. Complete the group information and review the preselected members.

All selected inspection equipment must belong to the same company. Existing groups cannot be selected as members.

Membership Rules

  • An item of inspection equipment can belong to no more than one group.
  • The group and its members must belong to the same company.
  • Groups cannot be nested.
  • Draft, archived, and deleted inspection equipment cannot be newly assigned.
  • A group with members cannot be moved to another company.
  • Inspection reports and inspection instructions are maintained on the physical members, not on the group.

Recognize Groups in the List and Details

Groups can be expanded and collapsed in the inspection equipment list. Their members appear indented below the group row. When searching or filtering, a matching group remains visible as context if one of its members meets the search criteria.

The group details show the assigned members under Test equipment in group. The inherited by the group label identifies the member that determines the current group status. Conversely, a member displays the Part of a group card in its detail view with a link to the associated group.

Group Status

An active group inherits the most critical status of its active members. Draft, archived, and deleted members are not included in the calculation.

A group without active members is considered ready for use. If the group is archived, the archive status takes precedence over status inheritance. For more details, see Status logic.

Change Members

Open Edit group from the group's action menu. The selection list shows available inspection equipment and identifies entries that are already assigned with In group. You can add or remove members and then save.

If you remove the last member from a group that previously contained members, Memida takes you directly to the Release group process.

Release a Group

Release group removes all members from the group. The members remain available as independent inspection equipment. You then have two options for the empty group container:

  • Keep (default): The previous group container remains as an individual item of inspection equipment.
  • Archive: The empty group container is archived.

The archive option is displayed only if you have permission to archive inspection equipment.

Archive a Group Directly

If you archive an existing group directly, Memida also archives all active members of that group. Review the confirmation dialog carefully. When you release the group instead, its members remain available.

Counts, Dates, and Data Exchange

Group containers are not counted as additional physical inspection equipment in dashboard, inventory, reporting, or subscription figures. Due dates, calendar entries, and inspections continue to come from the individual members.

The inspection equipment import, JSON export, and VDI 2623 export also represent the group marker and membership relationship.

The existing inspection equipment REST API endpoints use the same structure. During creation and editing, is_set identifies a group; parent_id assigns an item of inspection equipment using the group's UUID or removes the assignment when set to null. List and detail responses also include set_children_count, which contains the number of active members. Because a group has no inspection date of its own, next_check_at is null for groups. The same membership and status rules as in the interface apply to API access.
